Booking Guidelines
Thank you for choosing
Fly-Wheels for your executive transfer needs. To assist us
in providing you with the efficient and comfortable
transfer service you expect, we would ask you to please help
us to help you by adhering to the following guidelines when making
a
booking.

Guidelines:
Please use the 24hour format for pick-up times, and
supply cost codes.
Passengers' telephone contact numbers are optional but
appreciated.
Let us know any special requirements outside our normal
executive service
i.e. Number of Passengers, luggage, large parcels, specific
type of vehicle, etc...
Bookings:
All advance bookings should be made by email/fax. We will accept
advance bookings on a 24 hour basis any day of the week.
Bookings for early morning pick-ups
must be received by 16h00 (4pm) the previous day. All bookings, by fax or
by e-mail
will be automatically acknowledged by return. The subject heading of your
Emails should mention the word "BOOKING" for priority
handling of messages.
Airport Transfers:
For each booking: please specify one of the facilities we provide:
Meet & Greet:
Actual flight times are monitored by our staff. With Meet & Greet our drivers
wait for passengers inside the terminal, with a name board, at whatever time
the flight has actually landed, irrespective of the original schedule. This
service includes 30mn waiting time giving passengers time to collect their
luggage.
Outside the terminal: (otherwise known as "Red Carpet")
This is a pick-up at an agreed point, outside the terminal, within 10
minutes of the scheduled landing time. Those 10 minutes normally give
passengers
time to exit the terminal and to meet their driver. Cars will carry name
or company
boards for ease of recognition. It would be appreciated if passengers
could confirm their actual arrival on the telephone to facilitate the
meeting
with the driver
in view of the usual congestion outside the terminal.
Advance bookings:
BOOKING TERMS
All company bookings must be accompanied by a company "cost code" to
be accepted.
All bookings emailed to us will be acknowledged and re-confirmed in writing
by our office as a matter of course. Should no acknowledgement be received
from our office, it must be assumed that communication breakdown has
occurred.
Email bookings :
Bookings for the following morning must be received by our
office by 16.00 hours latest.
Any further changes/additions will of course be dealt with but they
must be confirmed by telephone before 18.00 hours.
Same-day returns:
Return bookings which have not already been confirmed, whether
to an airport or a hotel, require passengers to advise a
pick-up time directly
with our
office (giving advance notice.)
We regret that arrangements for pick-up made directly with the driver
cannot be accepted.
Flight bookings:
Flight bookings into London must mention the flight number
and the arrival time.
In case of last minute changes on a confirmed booking:
The passenger must call our office as soon as possible to re-arrange
meeting and to avoid waiting time or cancellation charges.
Large
parties:
It is important to verify and advise our office of the exact
number of passengers expected for any given flight in the case
of parties
travelling
together. -
Cars will only take a maximum of 4 passengers. MPV will normally
carry 6 passengers maximum. We can accommodate more passengers
if required,
but we need advance
notice.
Seminars/Training Centre:
Advance knowledge of number of passengers will help us decide
on the type of vehicle to be assigned for that particular day
or week.
Full
details
of Hotel,
Training Centre must be sent. Full schedule of morning pickup
times and return must be indicated.
Minimum Notice:
In order to guarantee the comfort of passengers, any "on-the-day" booking
not already confirmed will require a minimum of one hours notice.
We will always do our best to provide a vehicle for the requested
time, but we
cannot guarantee
it. We will, however, always advise the earliest time that
a car can be made available for pick-up.
Booking Cancellations:
Booking cancellations will be accepted free of charge if placed
one hour or more before the time of booking, or before the
time at which
our car
will have
left for the booking, in case of long distance journey. Otherwise,
our standard minimum charge will apply.
Mobile Phone number:
For our records, it is helpful if the passenger's
mobile phone number is supplied, for ease of contact should
this be necessary.
